Using a scribe

Role of the scribe

The scribe is a consultant used mainly by the public sector to support staff through the process of selecting staff. They attend job interviews, take notes and document this in a report that reflects the decision of the panel. Scribes can also provide a broader range of services such as providing advice on the selection process, assisting with interview questions, sitting on the panel, doing reference checks, and short listing applicants.

Scribes are predominantly used by the public sector. Occasionally NGOs and the private sector use scribes, often because they have used them in previous public sector jobs.

Pros and cons of using a scribe

Scribes can save time and other resources. Panel members are busy people and may find it difficult to give time to the process. A scribe can take one element – writing the report – and reduce the time it takes to complete the process. The scribe can also provide other services which can make the process quicker and more efficient. In a competitive market it’s not wise to leave applicants waiting so completing the process quickly is important.

Factors to use in selecting a scribe

Two important factors are the relationship you establish with the company or individual and the level of service provided. The scribe should meet your requirements, helping you with the process so that your needs are met. It’s not about the money. Being responsive and providing a quality product are important.

Tips for working with a scribe

See the scribe as an additional resource and tap the resources they can provide – advice, input on applicant choices, other services they can provide. If they are part of the process then the department only needs to provide one or two people and the scribe can provide an external perspective.
